What is Hosted PBX?

So, you may have heard people talking about VOIP or Hosted PBX, but what does it all mean?

Well, very simply, hosted telephony works in the same way as a traditional phone system but without expensive hardware or the need for any hard wiring, in fact, it uses an internet connection for the lines and the main system is put in a cloud. The calls are made using VoIP (Voice over IP). This means the system can be changed instantly, as the "hardware" is now on the internet rather than on a telephone pole.

The fact that a system is not static and does not require any hard wiring like traditional phone systems means the possibilities are endless and can grow with businesses without any disruption. It also allows businesses that operate from multiple sites to link up better or businesses that have lots of people working from home can plug their phone into a router and be on the office switchboard.

We can add and remove lines (channels) in minutes giving your business complete flexibility. The sysyem offers businesses of all sizes features that were once the preserve of large organisations that had systems which cost tens of thousands of pounds. We add to the system all the time so if there is something you would like that is not on our system tell us and if we think it will be useful we will make it for you.

So how much money will I save by having a hosted PBX system?

There will be a saving compared to a standard phone line, the rental is cheaper and calls are significantly cheaper so you should see a saving. If you also add in all the additional functionality you get from an Amelix phone system over having to purchase a standard phone system the savings soon add up.

How much will you save? Well that depends on several factors and the savings will be different for everyone. If you are a prudent customer and are constantly shopping around for the best deals the savings are going to be less than someone who has been with BT for years.

What about installation?

We've got you covered, the bulk of the setup happens in the Amelix Telecom cloud, so you don’t have to worry to much. We can send you pre-configured handsets which when plugged in will find our cloud automatically.

You may like us to come to your premises and set the system up, we have a network of our own engineers and approved partners across the UK who can come and do this for you and we are happy to quote.

How long does it take to migrate my number?
There are several ways of migrating a number, and a lot will depend on where your number currently sits and how helpful your outgoing provider is. We have a dedicated team who port numbers all day long and we will do everything for you.

The process usually takes around 10 days, however like with everything it is best to have a conversation about your circumstances and we will happily advise.

What happens if my broadband goes down?

The most common question we get asked when we talk about Hosted PBX is what happens if my internet goes down. Like most traditional phone lines if there is a fault with a line we can divert your numbers to a mobile or you can plug a handset in on any internet connection and start making or receiving calls again.

As we can control all your settings in the cloud we can react much faster than if you had a traditional phone line and, therefore, divert calls within seconds to wherever you want them to go.

I don't have a fibre internet connection can I still have a hosted PBX system?

The short answer is yes. We don’t need a superfast connection for our network we just need a reliable connection. Voice calls do not use up a lot of bandwidth so a traditional ADSL line will be fine as long as it is stable.

Before we commit any customers to VOIP we would monitor your connectivity and if we didn’t think the line was stable enough we wouldn’t recommend it to you.

We would always recommend a dedicated line for voice away from your main internet browsing.

What is a Channel?
In a nutshell, a channel acts like a traditional phone line or a channel on an ISDN system. If you have 8 channels on your Hosted PBX it means you can make or receive 8 simultaneous phone calls with the outside world in any one go.

You don’t need lots of channels to make or receive internal calls (extensions attached to your hosted PBX) even those on a different site. You only need channels for making calls to numbers outside your system.

How quickly can you add new channels to my system?
Ok the time it takes for you to read the answer to this question is about the average time it takes to add another channel to our network. It is really easy, you call us and we will apply a channel right away.

During busy periods it can take a little longer, so we always say allow an hour but certainly no longer than that. The days of waiting for engineers to visit or having to book phone engineers have long gone!

We will also email if you have any periods where all your channels are in use, meaning that you will know if more channels are needed.

Do you charge a seat licence fee?
No, unlike many other Hosted PBX solutions we do not charge seat licences. This is a charge per handset you have on the network, we simply charge for the number of channels you have. We can add and remove the number of channels you have in minutes.
I only have a couple of phones in my business, is hosted PBX right for me?

The beauty of hosted PBX is that it works for businesses of all sizes there is no minimum number of channels needed. The best bit about hosted PBX is the solution will grow with you and gives you huge flexibility as you can take your handset anywhere in the world and work as if you were in your office.

You can also access a wealth of features that were once the preserve of big expensive phone systems so we can give your business flexibility too.

How long is the contract?
We want you to be with us because you want to be, not because we have locked you into a contract forever and a day. That being said some of our carriers lock us into contracts and we then have to lock you into agreements to mirror those deals.

We can talk to you about contract length before you switch, we will always put you on a 30 day rolling contract when your contract period comes to an end.

Call Recording

Need to record your calls? No problem at all.

We can record every call, calls to one phone number, or we can randomly record for you. Recordings can be emailed as a WAV file straight to an email account.

If you want to host the recordings on your own server, we can automatically send your recording FTP or SFTP server.

Need to stop recording while sensitive information is given, e.g. bank details? Not an issue, simply enter a code into the handset to pause the recording, and then enter it again when done to restart.

Recorded Menus

You’ve heard it a million times before, the “press 1 for sales, press 2 for accounts”…

Have you always thought that this feature was too expensive to warrant paying for? Think again. 

IVR, which stands for Interactive Voice Response,  comes as standard with Amelix Phone Systems. It’s a completely free feature if you provide your own audio for the system, and we can even hook you up with some of our professional voice over artists at a small charge.

Filtering calls before they get to your team is a great way to offer fantastic customer service. Many industries use this feature in creative ways to make life easier.

Area Codes

Do you operate in more than one location within the UK? Could you benefit from having more than one number with different area codes? 

Amelix Telecoms phone system aren’t tied to physical cables, and that means you can choose the area codes that you purchase. That means your head office in London can receive calls from a Cornwall area code.

Need an overseas number? We can most likely provide that too. Not every country is available for various reasons but give us a call or email if there’s a particular country you have in mind.

Sickness Lines

We’ve all been there, 3am in the morning and we discover we’re not well enough to head into work in the morning. We can hardly call our bosses in the middle of the night! So, we send a text or an email instead, and risk getting in trouble for not calling in.

You can set the emails to go to one email account, a shared mailbox, or multiple email addresses. 

Alternatively, you can set up a code to dial into a voicemail, so the messages can be accessed from any phone on the network.

We have a range of hold music which comes as part of the system, at no extra cost.

Whether you’re looking for classical, modern, upbeat, calming or even novelty music we have a range of options to suit. 

If you know exactly which music you’d like you can even upload it to the system for a completely personal touch. 

Each queue can have up to 10 music files uploaded which you can play in a set order or randomly, so there’s no chance you customers will get bored while waiting to speak to you.

Queues

Ah, the queue, the traditional British pastime that we all love to hate. Well, our system has plenty of features which will stop your customers from hating them. 

The system is designed to make sure you never miss a call, so that means sometimes you’ll need to place your customers into a queue. 

We can understand if you’re reluctant to do that, but actually queuing is sometimes exactly what a customer wants. 

Imagine it’s a Saturday night and you’re desperate for a takeaway, every time to call to place an order what do you get? A busy tone. Not want you want.

How much better would it be to hear cheerful hold music that tells you that you’re number three in the queue and to hold on for a little longer.

Hosted PBX

So firstly, let’s start with the PBX part of hosted PBX. PBX stands for Private Branch Exchange which is a term used to describe business phone systems.

Business phone systems offer enhanced features compared to residential and mobile phone systems because a business needs more from it’s phone system to function.

These features can include conference call facilities, hold music, extension numbers, queues and a range of others that if you’re reading this you’re probably more than familiar with. 

The Cloud

The Hosted part of PBX means the system is held in the cloud. Traditionally, PBX systems were held in onsite computer servers which are expensive, take up space, and require someone with technical knowledge to set them up. That’s why until hosted PBX came about these advanced business phoneline features were mainly the preserve of very large companies.

That’s all changed now, as we can host data on virtual clouds. We’re sure you know, but it’s worth mentioning that being “in the cloud” has nothing to do with the sky. It simply means a group of servers which are hosted in a data centre, and not actually onsite. These large groups of server’s host data from lots of different companies and locations, meaning their capacity is shared out. The technical knowledge, space, and maintenance is shared out among different customers and so it opens up opportunities to companies who wouldn’t invest in their own advanced computing facilities but can afford to share them with others.

Okay, so we’ve gathered that hosted PBX is a phone system which is powered by specialist equipment which is hosted off site (i.e. not in a room down the hall in your office). But what’s all this talk about VoIP phones about?]

VoIP

Voice over IP (VoIP) is term used to describe making phone calls using the internet. Instead of breaking down sound into binary code (computer language) and shooting it down a phone line that’s strung between buildings it shoots it down an internet cable instead. Then the speaker at the end of your phone decodes the binary and projects the sound of someone speaking.

So, why is the internet cheaper than phone lines? It’s using a technology you’re already paying for. So rather than buying new phone lines for an analogue traditional system you use the internet which you already have installed.

Also, there isn’t as much manpower required, so you aren’t paying for engineer time to come and install a line just for you. The engineer time is shared across all the companies using the equipment. Finally, it’s a culture issue, internet phone calls are cheaper because the companies who sell the calls generally charge less than analogue phone system providers. We’re not completely sure why, but we fully support it, we want you to get the best deal possible!
